Document scanning and processing is carried out in compliance with the highest international standards and regulations in our secure scanning environment, in Grass (Luxembourg).

But how does our digitisation process work?
CAPTURE
Once placed into Labgroup boxes, we label them with a unique barcode to ensure full traceability and we securely transport them from your premises, in our GPS equipped vehicles.
Upon request, we can perform an inventory control.
TRANSFORM
Scanning of your documents in a dedicated and secure area using state of the art technology.
The indexation of the scanned images is either automatic via OCR, semi automatic or manual, depending on your requirements.
ELECTRONIC DELIVERY
Scanned documents can be delivered through an Electronic Document Management (EDM) platform or through an Electronic Records Management (ERM) system, and/or transferred to you via an encrypted and secured channel.
AND AFTERWARDS?
After a temporary storage within our secure facility, you have the choice of requesting a definitive return of your physical documents, secure storage within Labgroup’s facility or secure destruction.

Electronic Archiving System and Legal Archiving (PSDC)
Ensure the conservation of your electronic records with our ArcSys ERM, in Standard or PSDC mode.
Data archiving requires the efficient and systematic control of all evidence of activities related to capture, conservation, search and disposal of records, for future possible proofs (audit proceedings or legal challenges for example).
Our data archiving services consist of ensuring conservation of your electronic records, guaranteeing their long-term preservation, security, integrity, readability, authenticity and reversibility.
We provide an integrated, outsourced in SaaS mode certified solution for maintaining and preserving your records until the end of their retention period to meet the aforementioned requirements.
Long-term legal conservation (PSDC)
Legal archiving ensures the long-term preservation of archived documents (contracts, accounting documentation, HR related, etc.) whilst maintaining their legal value.
Labgroup was the first company in Luxembourg to obtain its registration on the official list of PSDCs maintained by ILNAS, as a provider of:
- D – Digitisation, to create legal electronic copies of paper documents;
- C – Conservation, which guarantees the integrity, confidentiality and persistence of electronic archives throughout their retention period.
Therefore, we offer solutions that fully match your long-term conservation needs. Our solutions comply with the legal constraints and regulations of evidentiary value archiving using a technology that provides the necessary evidence for judicial acceptance of electronically archived information.
The restitution of certified/legally valid copies (on your request) covers the following information:
- captured in Labgroup’s electronic archiving system for preservation.
- collected during the digitisation and archiving creation processes.
- stored during the preservation process.
This data constitutes an audit trail, together with the legal valid copy of the records.
Authenticity, exact date and integrity may be proven at any given time.
Finally, legal restitution can be carried out in an automated way or through individual requests sent to our Service Desk.
