Where are my paper documents stored?

From our Digital Transition Hub in Grass, we offer two highly secure solutions for storing your physical documents:

  1. Centralised storage depot. Documents are stored in our high-security, access-controlled warehouse that meets regulatory and insurance standards. Ideal for general archiving needs.

  2. Personalised storage rooms – For clients who prefer having their own dedicated space within our facility, allowing them to personally manage the content of their room with our 24/7 self-service access, or delegate the management to Labgroup.

Both options offer the highest levels of security and compliance. The choice simply depends on your specific needs and preferences!

What’s the difference between storage and archiving?

In everyday language, document storage and archiving are often used interchangeably but technically, there is an important difference.

Document storage refers to simply keeping files, whether physical or digital, in a designated location for future use.

Archiving, on the other hand, involves a structured, long-term approach: documents are indexed, classified, monitored for retention, and stored in a way that ensures integrity, legal compliance, traceability, and secure retrieval when needed.

How long should I keep my documents?

Retention periods depend on your industry, the type of document, and local regulations. In Luxembourg, most accounting and tax documents must be retained for at least 10 years, as required by the Tax Code and Commercial Code. Other documents, like HR records or contracts, may have different legal requirements.

We offer Consultancy services to help you define and automate retention rules that align with your business requirements (e.g. GDPR, Commercial Law, CSSF requirements) and relevant international standards (like ISO 15489 or ISO 14641-1).

Yes, we offer optional document digitisation as part of our archiving services. We scan, index, and securely store your documents, helping you to transition to a digital workflow at your own pace.

Do you also offer an Electronic Document Management system?

Yes. In addition to long-term archiving, we provide a full-featured Electronic Document Management system (EDM) – also known as Document Management System (DMS) – to help you manage your active documents before they reach the archiving stage.

Our EDM allows you to:

  • Store, organise and share documents securely,
  • Set user access rights and version control,
  • Automate workflows and approvals.

What types of documents can be archived?

Virtually any type: HR records, financial statements, contracts, medical files, invoices, engineering drawings, emails, etc. We work with organisations across sectors including healthcare, legal, public, manufacturing, and assurance and finance.

What happens when a document reaches the end of its retention period?

Once a document, whether paper or electronic, reaches the end of its legal or operational life, we offer secure destruction, with full traceability. You stay in control through automated retention policies and deletion approvals.
