Customer Overview
With over 30 offices worldwide, Citco provide corporate / fiduciary, fund administration, banking and data processing services to a variety of clients including multinational banks and global 1000 companies. The office in Luxembourg is one of Citco's largest.

Business Required
Over the past two years Citco have experienced tremendous growth. This is reflected by the steep increase in the number of employees, which has risen from 20 to 160 over a two year period. The company is still aggressively recruiting.

Growth like this is obviously to be welcomed but it also has to be properly managed or it may be stalled.

Citco rapidly became aware of a problem resulting from their success. Compliance regulations meant that they were required to store transaction records, account details etc for a specified number of years (ranging from 30 days to 10 years). Archives stored at the company premises were taking up invaluable space which could be put to more efficient use.

The Solution
Citco were keen for a quick resolution and initially chose Lab for the following two reasons:

  • PSF status
  • Broad range of document and data management services.

Lab's document collection and delivery services along with their secure storage facilities were seen as ideal. Lab also provided Citco with access to their Document Management Software, ArcStore 6, which enabled them to manage their archives online.

Despite the initial contact been for document storage services, Citco could also see that using Lab would be to their advantage as they provided a range of document and data management solutions that although not required at the outset, were easily identifiable as services that would be extremely useful in the months / years ahead.

With the increasing volume of business, Citco took the decision to implement an Electronic Document Management System (EDMS) commencing operations in early 2008. This would not only improve business efficiency but also help Citco with their compliance requirements. This created a situation whereby the previous years transactions and records had to be installed into the EDMS. Citco delegated Lab to facilitate the project. Labs responsibilities involve scanning the appropriate documents, indexing and delivering them in a format which will be compatible with the EDMS both locally and globally. Once the EDMS is operating, Lab will scan the appropriate documents on a daily basis.

Citco have employed the services of an independent Business Continuity Consultant who prepared a report detailing areas requiring attention. One immediate problem was a lack of a secondary site whereby Citco could continue with their operations in the event that their business premises were not accessible. Once again Lab was approached and Citco contracted to take a number of seats in Labs Disaster Recovery Centre. This centre will provide Citco with clean, modern and secure office premises which are designed to the highest standards in terms of technology, communications and facilities. Most importantly it means that Citco can walk straight in and activate their recovery plan.

The Results
Lab continue to work closely with Citco, providing an assortment of services ranging from document scanning and data backup to the provision of server room equipment.
